How to Write a Handoff Note Before You Take Time Off
Taking time off should not require leaving a novel behind. Yet a one-line out-of-office message is rarely enough when other people need to continue a project, answer a customer, or make a decision in your absence. The useful middle ground is a short handoff note: clear enough to support action, limited enough that it does not recreate your entire job for someone else.
Write it for the person who has the least context, not for the person who sat beside you in every meeting.
Start with the current state
Open with a few sentences that explain what is happening now. Name the project, the immediate goal, and the current status. For example: "The vendor comparison is ready for review. We are waiting for finance to confirm the annual budget before selecting an option." That gives the reader a map before they meet a list of details.
Then separate active work from background information. Active work needs an owner, a deadline if one exists, and the next action. Background information can be links to the brief, decision log, or latest meeting notes. Do not make someone hunt through a general folder for the document that matters.
Name the decisions that may be needed
People need permission as much as information. List the decisions likely to arise, who can make them, and what boundary should guide the choice. "If the client asks to move the workshop, Alex can approve any date after July 10; do not promise a custom agenda until the scope is confirmed." This is more helpful than "Alex is covering."
Also name what can wait. A handoff note should protect the work that matters, not invite every minor question to become urgent. If something does not need a response until you return, say so plainly.
Give contacts a reason
Include contacts only when the reader knows why to use them. "Talk to Morgan for contract terms" is better than a list of names. Add the preferred channel when timing matters. This avoids forwarding a confused question through three people who all know a different piece of the story.
If an outside partner needs an update, send it before you leave. Do not make a colleague discover that they are now the point of contact from a message they cannot answer.
Close the loop before you go
Share the note with the people who will use it and ask one simple question: "Is anything missing that would stop you from moving this forward?" Their answer will reveal assumptions you did not realize were in your head.
Finally, set your out-of-office message with the actual backup contact and your return date. Then let the handoff do its job. A clear note is meant to make time off possible, not to create an expectation that you remain quietly available.
Save the handoff alongside the project material when you return. It will show what changed while you were away and may become the starting point for the next transition. Good handoffs are not only for vacations; the same structure helps when ownership changes, a teammate is sick, or a project needs temporary support.
